Many of my clients manage operations with employees both in the office, teleworking, and out doing field work. While there will always be bumps when it comes to employee communication, when you have in-office and field-operations teams it can become like a game of broken telephone rather than a highlight of how diverse located teams work together.

It’s a common pain point for businesses with field service operations. Miscommunication, misunderstanding, or lack of communication altogether can lead to a host of issues, like decreased productivity, poor customer satisfaction, and even potential revenue loss.

But don’t worry, I’ve got a handful of tips to help you out right now.

One – Open the Lines of Communication

First thing’s first, you’re going to want to… umm communicate! If you want the lines of communication to be more open and effective, you are going to have to be the one to open them. You can do this by scheduling regular catch-up and touchpoints between your two teams, for starters. And scheduling, at least, monthly meetings which will allow everyone to catch up and talk about the issues that they need to work together on more effectively than they can in just email and chat apps.

Two – Embrace Technology

Here’s where BuildOps field service software comes into the picture. This particular software has been created to bridge the gap between field workers and back-office staff, providing a centralized place where everyone can access relevant data, schedule jobs, and even check out customer histories.

By using BuildOps software, you can empower your field workers to update everyone on their status while they are actually on the job, so that everyone is not playing catch-up, because when there is a delay in reporting, things tend to get lost and miscommunicated and this can cause a headache for the back-office team in particular.

On the other hand, your back-office staff can easily assign tasks, check on progress, and manage invoicing. So, by having all of this information at your fingertips, you can run a more effective, more communicative business that is more integrated, with ease. Franking machines can also streamline communication by simplifying mail processing and reducing the chances of delays caused by manual handling. With reliable FP Mailing solutions, businesses gain access to advanced solutions that ensure accurate postage and efficient mail management, cutting down administrative burdens. This helps teams focus on core tasks while maintaining seamless, timely correspondence throughout the organization.

Three – Train, Train, Train

There’s no point in having all this fancy tech if your team doesn’t know how to use it. Regular training sessions can keep everyone updated with the latest processes, tools, and best practices. And remember, training isn’t a one-and-done thing – make sure it’s ongoing, so you’re always at the top of your game.

Four – Foster a Team Mentality

It almost goes without saying that, if you want to improve communications between field and back-office employees, then you need to get them working together and thinking of themselves as one big team instead of two separate ones.

Of course, this is not always easy to achieve when the two teams do not spend very much time working together in the office any meaningful way, but there are things you can do, such as having team bonding events, encouraging more integration between the teams by basing them in the same areas, having pizza Fridays, and well the world is your oyster, you can figure it out!

Five – Create a Feedback Loop

Create a feedback loop where each of your teams share their experiences of working in your business with one another, sharing their challenges, triumphs, and anything else that is meaningful to them in the world of work, such as suggestions for improving working practices in the future, and you will find that when everyone has a voice, not only do the lines of communication improve, but so do your business practices and productivity as a whole.

Six – Have a Single Source of Truth

Miscommunication is so often the result of there being multiple versions of the same piece of information created by different teams and individuals. Not only is this confusing, but it is also a waste of time. So, it is a really smart idea to use a centralized software system that can be used to disseminate information to your team, and to collect it too, of course. Communication tools such as the BuildOps software mentioned above, for instance. Even designating a single person to act as spokesperson for comms will do your company a great deal of good.

As you can see, there are a number of key changes you will need to make in your business if you want your field and office teams to be able to communicate with one another more effectively.

However, it is worth implementing as many of them as you can because when communication is as good as it can be, business efficiency will go through the roof, and as a direct result, so will your company’s productivity, so it will pay for itself in no time at all!

Happy communicating!
